How to prepare a useful label and patch sourcing brief

Give your manufacturer the information needed to compare practical materials, finishing options and delivery requirements before preparing a quotation.

Start with the application, not just the artwork

A logo tells a manufacturer what the design looks like. The application explains how the finished detail needs to perform. A neck label against the skin, an outerwear badge and a hang tag on a retail garment each create a different set of priorities. Begin your brief by describing the product, where the label or patch will sit, how it will be attached and what the wearer or buyer should notice. Include the garment material and any relevant washing or use conditions.

Tell us whether softness, fine lettering, a raised surface or a particular finish matters most. If you are comparing woven and embroidered construction, say which parts of the artwork must remain readable. This gives the production discussion a useful starting point instead of treating every option as interchangeable.

Separate dimensions, quantity and construction choices

State width and height with a unit, and explain whether those measurements describe the visible face or the complete cut piece. Folded labels need room for their construction, so a visible measurement alone can leave a critical detail unresolved. A sketch showing the intended fold and sewing position is often more useful than a long written explanation.

List quantities by design, colour variation and size when they differ. Describe the preferred backing, border or attachment, but mark any choices you would like us to advise on. For packaging, include the dimensions of the item being packed and how it will be presented. These details allow the discussion to focus on a workable specification rather than an assumption.

Provide artwork and identify what must stay unchanged

Send the clearest original artwork available. If you only have a raster image, avoid reducing it further or sending a screenshot of a screenshot. Identify important colours, fine lettering, outlines and any elements that may need simplification for the chosen construction. References can help explain a finish, but your own artwork should remain clearly distinguishable from an inspiration image.

Mention whether the design has been approved internally. If several people are reviewing the project, agree on one current version before discussing a production proof. Keep the filename and revision understandable so an older attachment does not become the unintended reference.

Complete the commercial and delivery context

Include your delivery country, preferred contact details and any event or launch date. A required arrival date and a desired dispatch date are different things; stating the actual need lets us discuss the schedule responsibly. Sampling, production and transport arrangements should be confirmed for the specific project before you make commitments downstream.

At Intime Label & Printers, a sourcing enquiry is the beginning of a specification review and quotation, not an online purchase. We manufacture woven labels and tapes, embroidered patches, printed and satin labels, hang tags and packaging finishing in-house, and coordinate selected specialist processes with vetted partners. Ask which process applies to your project and request relevant material documentation where needed.
